Terms & Conditions
These Terms & Conditions apply to bookings and services provided by 360 Stage. Please read them carefully before confirming a booking with us.
01 Acceptance of Terms
These Terms & Conditions apply to services supplied by 360 Stage to private individuals, businesses, organisations, agencies and other clients.
By confirming a booking, paying a deposit or accepting a quotation, the client confirms that they have read, understood and agreed to these Terms & Conditions.
These terms should be read together with any quotation, invoice, booking confirmation, agreed event brief and our Privacy Policy where applicable.
02 Services
360 Stage provides interactive event experiences for weddings, parties, private events, corporate events, brand activations and other live events.
Services may include, but are not limited to:
- 360 Photo Booth experiences;
- SnapBooth photography and printing;
- Selfie Mirror experiences;
- Roaming Photographer services;
- Audio and Video Guestbook experiences;
- Corporate event experiences;
- Brand activations and bespoke guest journeys;
- Digital sharing, galleries and content delivery;
- Custom overlays, print templates and event artwork;
- Other agreed event services and add-ons.
The exact services included in a booking are those stated in the client's quotation, invoice, booking confirmation or other written agreement with 360 Stage.
03 Booking Confirmation & Deposits
A booking is not confirmed until 360 Stage has confirmed availability and the required deposit has been received, unless alternative written payment terms have been agreed.
Standard Deposit
Unless otherwise stated in writing, a deposit of 30% of the booking value is required to secure the event date.
Availability
An enquiry, quotation or provisional discussion does not by itself reserve an event date. Availability remains subject to confirmation until the required booking payment has been received.
04 Payments & Outstanding Balances
Unless otherwise agreed in writing, the remaining booking balance must be paid no later than 5 working days before the event.
Payment may be accepted using the payment methods made available by 360 Stage for the booking, which may include bank transfer, card payment or another agreed payment method.
Where cash payment on the event day or alternative payment terms have specifically been agreed, those written terms will apply to that booking.
Corporate Payment Terms
Corporate clients may be offered alternative payment terms where agreed in writing in advance. Purchase order, procurement or extended payment arrangements do not apply unless expressly accepted by 360 Stage.
Late or Outstanding Payment
360 Stage reserves the right to withhold event delivery, content, galleries, files or other deliverables where payments due under the booking remain outstanding, subject to any payment terms agreed in writing.
05 Cancellations & Rescheduling
Cancellation by the Client
The client may cancel a booking by notifying 360 Stage in writing as soon as possible. All booking deposits are non-refundable.
Where a client cancels an event within 14 days of the scheduled event date, payments already made may be non-refundable and any outstanding contractual amounts may remain payable where costs, staffing, design work, production or other resources have already been committed.
Rescheduling
Requests to move a booking to another date are subject to availability and must be agreed by 360 Stage in writing.
Where a rescheduled date is accepted, the existing deposit may be transferred to the new date at the discretion of 360 Stage. Additional costs may apply where the location, timings, services, staffing or other booking requirements change.
Cancellation by 360 Stage
In the unlikely event that 360 Stage is unable to provide an agreed service for reasons within our reasonable control, we will endeavour to offer a suitable alternative, replacement service or appropriate refund for the affected service.
06 Event Timings, Delays & Extensions
The agreed operating times shown on the booking confirmation, quotation or invoice form part of the booking.
Client or Venue Delays
Where the agreed service start is delayed due to circumstances outside 360 Stage's control — including delayed meals, speeches, venue access, room changes, entertainment overruns or other event scheduling issues — the original booked finish time will normally remain unchanged.
We will make reasonable efforts to accommodate event delays where operationally possible, but additional operating time is not automatically included.
Additional Time
Extensions may be available subject to staff availability, venue requirements, equipment schedules and other bookings. Any additional charge must be agreed before the extension proceeds.
Late-Night Events
Additional charges may apply to operating times extending beyond midnight or outside the originally agreed event schedule.
Early Setup
Early installation or two-stage setup arrangements may be agreed where required. Additional staffing, travel, waiting time, parking or logistics costs may apply.
07 Venue Access, Setup & Client Responsibilities
The client is responsible for ensuring that 360 Stage has appropriate access to the venue and sufficient time to complete the agreed setup before the event begins.
Venue Access
The client must provide accurate information regarding loading access, parking, stairs, lifts, restricted access, setup windows and venue-specific requirements.
Suitable Space
The client is responsible for ensuring that an appropriate operating area is available for the booked experience.
Venue Permission
The client is responsible for obtaining any necessary permission from the venue for installation and operation.
Safe Operating Environment
360 Stage reserves the right to alter, pause or stop an experience where continuing would create an unsafe situation for guests, staff, equipment or the venue.
08 Travel, Parking & Additional Event Costs
360 Stage provides services in Dublin and at venues across Ireland. Travel or transport charges may apply depending on the event location and booking requirements.
Parking & Venue Charges
Paid parking, loading charges, permits, tolls, access fees or similar venue-specific costs may be charged to the client unless otherwise agreed.
Extended Travel
Events involving significant travel may require additional transport, accommodation, staffing or subsistence arrangements.
Changes After Booking
If the client changes the venue, location, schedule or other material booking details after confirmation, 360 Stage may revise the quotation to reflect resulting additional costs.
09 Equipment Damage & Guest Conduct
Clients and guests are expected to treat all equipment and event installations with reasonable care.
The client may be responsible for reasonable repair or replacement costs where equipment is damaged, lost or deliberately interfered with by the client, their guests or persons attending the event under the client's responsibility.
Unsafe or Inappropriate Behaviour
Abusive, threatening, dangerous or inappropriate behaviour towards 360 Stage staff or equipment will not be tolerated.
360 Stage may suspend or terminate a service where guest behaviour creates a safety risk or prevents reasonable delivery.
10 Personalised Designs, Branding & Approvals
Selected services may include personalised artwork such as overlays, print templates, welcome screens, digital galleries or guestbook greetings.
The client is responsible for supplying logos, names, photographs, brand guidelines and other required assets in suitable quality and within the requested timeframe.
Design Approval
The client is responsible for checking names, dates, spelling, logos, colours and layout before approving artwork.
Once a design is approved, 360 Stage may rely on that approval when preparing final event assets.
Late Changes
Changes requested after final approval or shortly before an event are subject to availability and may incur additional design or production charges.
11 Photos, Videos, Galleries & Digital Content
Depending on the booked experience, 360 Stage may capture photographs, videos, audio recordings or other digital content.
Content Delivery
Where digital delivery or an online gallery forms part of the booking, access will be provided following the event once relevant content has been processed and any outstanding payments have been satisfied.
Online Galleries
Galleries may be available for a limited period. Clients should download and securely store content they wish to retain.
Promotional Use
360 Stage will not rely on these Terms alone as consent to use identifiable private-event content for marketing. Appropriate permission or another lawful basis will be obtained where required.
12 Technical Issues & Service Limitations
360 Stage takes reasonable steps to prepare, test and maintain event equipment, but technology may occasionally be affected by circumstances outside reasonable control.
- venue internet or mobile connectivity;
- third-party platform outages;
- device compatibility;
- venue power or infrastructure issues;
- unexpected equipment or software faults;
- environmental or venue conditions.
If a material technical issue affects an agreed service, 360 Stage will take reasonable steps to troubleshoot and, where practical, provide an alternative or appropriate remedy.
13 Corporate Events & Brand Activations
Corporate events and brand activations may involve custom branding, additional staffing, extended operating periods, bespoke digital journeys, data capture, competitions or multi-day delivery.
Bespoke Quotations
Corporate and activation pricing is generally prepared according to the agreed event brief rather than standard private-event package pricing.
Scope of Work
The agreed quotation, proposal, booking confirmation or event brief defines the services included. Additional work outside the agreed scope may incur additional charges.
14 Data Protection & Participant Data
Certain experiences may involve collection or processing of personal data, including names, email addresses, photographs, videos or other participant information.
Personal data will be handled in accordance with applicable data protection law and our Privacy Policy.
Where a client requests email capture, marketing consent, competitions or other data collection, the respective responsibilities of 360 Stage and the client should be agreed as part of the activation brief.
15 Events Outside Our Reasonable Control
360 Stage will not be responsible for failure or delay caused by circumstances outside our reasonable control.
Examples may include:
- severe weather or unsafe travel conditions;
- major transport disruption;
- venue closure or loss of access;
- fire, flood or emergency;
- government restrictions;
- major power or telecommunications failure;
- industrial action;
- serious illness or emergency affecting essential personnel.
Where possible, we will communicate with the client and make reasonable efforts to identify an alternative solution.
16 Limitation of Liability
Nothing in these Terms excludes or limits liability where doing so would be unlawful.
Subject to applicable law, 360 Stage will not be responsible for losses that are indirect, consequential or not reasonably foreseeable when the booking was made.
Where 360 Stage is responsible for a material failure affecting part of an event service, any remedy will take account of the nature and value of the affected part of the service.
17 Complaints & Event Issues
If a client has a concern during an event, it should be raised with the 360 Stage attendant or contact person as soon as reasonably possible so we have an opportunity to address it.
Post-event complaints should be submitted in writing with sufficient information for us to investigate, including the event date, booking details and nature of the concern.
18 Changes to These Terms
360 Stage may update these Terms & Conditions from time to time to reflect changes to services, operating procedures or legal requirements.
The terms applicable to a confirmed booking will generally be those in effect when the booking was confirmed, together with any later changes specifically agreed with the client in writing.
19 Governing Law
These Terms & Conditions are governed by the laws of Ireland.
Any dispute relating to these Terms or services supplied by 360 Stage will be subject to the jurisdiction of the Irish courts, subject to any mandatory rights or jurisdiction that apply under applicable law.
